Job Overview

We are looking for an organised, highly detailed, and proactive Administrative Assistant to join our small team in Glasgow for a minimum of 2 days per week with the possibility to increase. In this role, you will play a crucial part in keeping our studio running smoothly by maintaining our product data, managing stock inventory records, and providing vital day-to-day administrative and logistical support.

The ideal candidate has a love for systems and organisation, enjoys working with data, has a sharp eye for accuracy, and is excited to support a growing, independent creative brand.

Key Responsibilities

Product Data & Documentation

  • Maintain accurate product listings and master data, including package dimensions, product weights, and shipping information
  • Create, update, and format associated product documents, such as retail barcodes and product labels
  • Rigorously copycheck and proofread product information across both physical and digital catalogues

Inventory & Stock Management

  • Conduct careful diligence checks to reconcile stock order inventory records against financial invoicing data
  • Compile and update weekly, monthly, and ad-hoc stock reports to assist with inventory planning
  • Prepare and issue warehouse advance delivery notices for incoming shipments

Studio & Logistics Support

  • Prepping and packing for trade and consumer events
  • Monitor, order, and organise general office supplies to keep the workspace fully stocked
  • Assist with preparing and dispatching customer samples, and marketing mail-outs
  • Provide general administrative and organisational support across the studio team as needed

Essential Skills and Experience

  • High Attention to Detail: Outstanding accuracy when working with numbers, proofreading copy, and organising product specifications.
  • Highly Organised: Ability to establish systematic processes, prioritise tasks, and keep physical and digital spaces tidy.
  • Data & Numeracy Comfort: Confident working with basic numerical data, reconciling files, and spotting inconsistencies.
  • Tech Savvy: Confident using Google Workspace (Docs, Sheets, and Gmail) or Microsoft Excel for day-to-day data entry and administration. Basic knowledge of Adobe Illustrator would be of help
  • Clear Communication: Strong written English skills for copychecking, and warm, professional verbal communication for working within a close-knit team.
  • Team Player: Happy working independently, with ability to manage your own workload, on focused admin tasks while collaborating closely as part of a small but very busy, friendly creative studio.
  • Up for anything: In a workplace where no two days are the same, you are happy to jump in on surprise tasks that come along. From spreadsheets one day to painting display shelves the next...

Desirable Skills and Experience

  • Prior experience in an administrative or studio-support role.
  • Familiarity with inventory management systems.
  • Experience or understanding of retail logistics, wholesale supply chains, or warehouse receiving processes.
  • An interest in or appreciation for design, illustration, and sustainable independent brands.
